General liability insurance

The event Organizer/Association/ League/ Teams must obtain comprehensive general liability insurance protecting the Town of Riverview against liability for bodily injury, death and property damage arising out of the event and listing the Town as an “additional named insured” on the certificate. The minimum limit of $2,000,000.00 (Two Million Dollars) will be per occurrence and have a cross liability clause. A Copy of your insurance certificate must be submitted before approval is granted.

Terms and Conditions

  1. Smoking or vaping inside or within 15 m of any entrance to the building is strictly prohibited.  All drugs, including cannabis, are strictly prohibited.  This includes cannabis or any other form of drug use.
  2. Property damage resulting from the event, set up activities and/ or take down activities, is the responsibility of the Event Organizer. Damages to Town property will be reported to the Parks, Recreation and Community Relations Department immediately for assessment. Repairs and/or replacement costs will be billed to the Event Organizer.
  3. The Event Organizer must have an adequate monitoring and supervision system in place from the beginning of set up to the end of the take down to ensure compliance with all the Parks, Recreation and Community Relations Department’s Terms and Conditions.
  4. The Event Organizer will leave the event/activity area(s) clean and litter free and may be billed for subsequent cleanup cost.  Please dispose of waste in the bins provided, following ECO360 three stream waste sorting guidelines. 
  5. Alcohol is to remain inside the main hall at all times.  No outside alcohol is permitted on the premises.
  6. Event Organizers are responsible for trash collection of any and/or all vendors and will be responsible for communicating the garbage/litter collection process to them.
  7. Recycling is required during Special Events.
  8. Only paper/plastic cups will be used for beverages. Glass containers are prohibited for safety reasons.
  9. Confetti, glitter and like material, as well as bubbles and smoke machines are strictly prohibited.
  10. Parking is restricted to the Coverdale Centre parking lot.  Parking at the church across the street is prohibited.  Please do not block neighbours access to their properties.
  11. If booking the kitchen, proper food handling safety protocols are to be followed at all times.  At least one person with a valid Food Handling Certificate must be in the kitchen at all times when food is being prepared.  A copy of the certificate must be provided prior to the event.  
  12. All activities on the premises must conclude no later than midnight on the day of the rental, including the removal of all decorations, personal effects, and paraphernalia from the premises.  Continuation of events or clean up / tear down past midnight will result in additional charges.
  13. Activities are to be contained to the agreed upon rental space (main hall, and / or boardroom, and / or kitchen).  Children are not permitted to move about the building without adult supervision.
  14. Public telephone service is unavailable.
  15. Guest wi-fi is available.  Secure internet access or hard-wired access is not available.
  16. No personal tents or canopies are permitted in undesignated Public Parks, open spaces, or playgrounds. Overnight camping is prohibited.
  17. The Event Organizer will designate one specific individual to serve as the liaison between the Parks, Recreation and Community Relations Department and the organizing committee/organization. The role of this individual will be to work with the Town of Riverview Parks, Recreation and Community Relations Department, or other designated Town Department or Divisions and event personnel/volunteers to ensure compliance with all special event guidelines and to prevent damage to the chosen site(s).
  18. Organizers will comply with all Federal and Provincial Laws, Statutes and Regulations in the implementation of a special event including Municipal By-Laws.
  19. The Event Organizer of the special event will submit the following documentation with the Special Event Application Form before permission is granted to hold their event.
    • Completed booking request form
    • Set up / room layout for the event.
    • A complete list of activities planned during the event(s).
